We believe in the work nonprofits do — and we price accordingly. Every organization, from a one-person shop to a full staff, gets complete, proactive IT management at a flat monthly rate built with your mission and budget in mind.

What Qualifies for Nonprofit Pricing?
Nonprofit pricing is available to organizations with current 501(c)(3) status or equivalent. We'll ask for a copy of your IRS determination letter during onboarding — that's the only requirement. Not sure if you qualify? Reach out and we'll figure it out together.
Managed Services for Nonprofits
The same complete coverage as our business clients — at a rate built for nonprofit budgets. One flat monthly rate. No minimums. No onboarding fees. No surprises.
End User Support — $125 / user / month
Unlimited remote support during business hours. Covers one primary device per user, antivirus with EDR, identity threat detection and response, automatic updates, a password manager, and security awareness training. One-year minimum.
What's covered under End User Support — and what isn't

One primary work device (desktop or laptop), remote helpdesk support during business hours, antivirus with EDR protection, identity threat detection and response (ITDR) for your Microsoft 365 or Google Workspace account, automatic updates, a password manager license, and ongoing security awareness training including simulated phishing.

Additional devices beyond the primary (see Infrastructure Support), personal devices, network equipment, cloud tenant management (separate line item), on-site support, after-hours support, or third-party software licenses not listed above.

Windows 10 or 11 Pro, or macOS. Devices on home-edition operating systems may need an upgrade before onboarding — we'll identify this during your free consultation.
Infrastructure Support — Servers & Firewalls — $100 / device / month
Covers servers and firewalls. Includes EDR, automated uptime and connectivity monitoring, automatic updates, and remote support during business hours. Server cloud backup is required — storage billed as a pass-through at cost plus 20%. One-year minimum.
Infrastructure Support — Workstations, Switches, Access Points & Printers — $25 / device / month
Covers any managed device beyond a user's primary — secondary workstations, switches, access points, and business-class printers. Includes EDR, firmware updates, uptime monitoring, and remote support. One-year minimum.
What's covered under Infrastructure Support — and what isn't

Remote support, configuration management, network and uptime monitoring, firmware updates, and troubleshooting for all covered devices. Automated monitoring checks that devices are online and reachable and alerts when something goes dark or becomes unreachable — not a vulnerability scanner, but consistent visibility into whether your environment is up and responding.

Physical repairs, hardware replacement, consumables (toner, cables, ink), or on-site support unless scoped as a separate project. Consumer-grade inkjet printers do not qualify — only business-class networked printers.

Infrastructure support requires business-grade or enterprise-grade equipment. Consumer routers, ISP-provided hardware, unmanaged switches, and end-of-life devices are not supported.
Supported equipment includes: business-grade firewalls (UniFi and WatchGuard natively; Fortinet, Meraki, and SonicWall case-by-case), managed switches, business-grade access points, and physical or virtual servers.
Not sure if your equipment qualifies? We will assess your environment during onboarding and walk you through any recommendations. If upgrades are needed, ask us about our IaaS program — it lets you get the right equipment without a large upfront cost.
Cloud Tenant Management — $75 / tenant / month
Your Microsoft 365 or Google Workspace tenant managed as a secure environment: security baseline configuration, admin account monitoring, MFA enforcement, conditional access policies, and ongoing tenant health. One flat fee per tenant, regardless of user count.
No Onboarding Fees
Getting started costs nothing beyond your monthly rate. Before your contract is signed, we conduct a full device inventory together — every workstation, server, printer, and network device documented by name with its monthly rate. You approve the complete scope before signing anything. No surprises on your first invoice.
Client Portal — Included with Every Plan
Every client gets access to the Aspen Sky Tech client portal — your own dashboard to submit and track support tickets, view your managed device inventory, and access invoices. No mystery about what's happening with your IT. Full visibility, all the time.

Our stack is built around Microsoft 365 or Google Workspace for email and productivity, and UniFi for network infrastructure. Both platforms are fully supported. For nonprofits with compliance or grant-reporting requirements, Microsoft 365 is recommended. Many nonprofits qualify for deeply discounted or free Microsoft 365 and Google Workspace licensing through TechSoup and Microsoft’s and Google’s own nonprofit programs — if you haven’t accessed those yet, we can help you get there during onboarding.
If your organization needs a platform transition first, we'll walk through what that looks like during your free consultation. That work is scoped as a one-time project with a fixed quote — full cost and timeline visibility before you commit to anything.
After-Hours & Emergency Support — 2x standard rate
Business hours are Monday–Friday, 8:00 AM–5:00 PM Mountain Time. After-hours emergency support is available outside those hours at 2x the standard rate, 1-hour minimum, then 30-minute increments.

After-hours support covers complete outages, active security incidents, and data loss events. Non-critical issues — slow performance, configuration questions, software errors that don't stop business operations — are queued for the next business day. Not sure if your situation qualifies? Call us and we'll make that call together.
Server Cloud Backup — $55 / server / month + storage at cost + 20%
Required for all servers under management. Cloud-based backup with offsite retention. Storage billed as a pass-through at cost plus 20%.
Not included by default, but strongly recommended. If a workstation is lost, stolen, or fails, local backup may not be enough. Clients who decline will be asked to sign a brief written acknowledgment.
Strongly recommended: Cloud Productivity Suite Backup — $5 / user / month
Microsoft 365 and Google Workspace don't fully back up your data by default — both companies recommend third-party backup. This covers both platforms with cloud-to-cloud backup, unlimited storage, and restore support included.
Optional: Workstation Cloud Backup — $8 / device / month + storage at cost + 20%
Contract Terms
Managed services require a minimum one-year contract. Three-year and five-year options are available for clients who want price stability.
1-Year — Standard. Rates adjust at renewal, capped at 5% or CPI (whichever is lower). 60 days' written notice before any change.
3-Year — Price Lock. Rates frozen at signing for the full term. No adjustments, no surprises.
5-Year — Price Lock. Maximum stability. Rates locked at signing for five years.

All agreements include an early termination clause. For 1-year contracts, early termination is 3 months of your current monthly total. For 3-year and 5-year contracts, it's 6 months. This reflects the onboarding investment we make at no charge and the capacity we build around your contract.
During a price-locked term, your per-unit rates are frozen — but your invoice still reflects real changes in your environment. Add a user, add a device, remove one — those are always reflected accurately. Storage pass-through costs also fluctuate with actual usage.
Project Work
Need a one-time project — a network upgrade, server deployment, or migration? We work with both managed clients and businesses not yet on a plan.
Project Rate — $125 / hour
Billed by the hour. A project contract is required before work begins. Does not include ongoing support after the project is complete.
Consultations
Training — $150 / hour(4-hour minimum)
Consultation — $150 / hour(15-minute increments)
Not Ready for a Full Plan?
Small Nonprofit Retainer — $30 / month
Designed for nonprofits with fewer than 10 staff who need occasional, budget-conscious IT support without a full managed services commitment. Includes one hour of remote support per month. Additional time billed at $150 / hour. Hours reset on the first of each month and do not roll over. One-year commitment required.
